About this role

Run the back office for a fast-growing remote team. You'll own invoicing and collections follow-up, track payments and project timelines, schedule and coordinate vendors, and keep nothing from slipping. A hands-on role for an organized, proactive coordinator who chases what's outstanding until it's closed.

What you’ll do

  • Own invoicing, collections follow-up, and payment tracking end to end.
  • Track project timelines, deliverables, and outstanding items.
  • Schedule meetings, appointments, and installations; coordinate vendors and subcontractors.
  • Build and maintain spreadsheets, trackers, and digital records.
  • Communicate with clients and the team on outstanding items and next steps.
  • Identify and improve internal processes and workflows.

What we’re looking for

  • 8+ years of hands-on administrative, office-support, or project-coordination experience.
  • Direct experience with invoicing, collections follow-up, and payment tracking.
  • Strong organizational skills and the discipline to chase items until they close.
  • Solid Excel / Google Sheets skills and comfort with project and accounting tools.
  • Clear written and spoken English and reliable U.S. business-hours overlap (Mon–Fri, 10 AM–6 PM US time).

Nice to have

  • QuickBooks or other accounting/invoicing software experience.
  • Experience with project management tools (Asana, Trello, Monday.com, ClickUp).
  • Prior experience supporting U.S.-based leadership or PMs directly.
