The daily shape of it is high volume: many active files at once, repetitive follow-up, frequent outbound calls to borrowers, and difficult conversations when a document is late or a new condition appears. Manage active loan files from application through closing for a U.S. lending and mortgage operation. Read each file against its underwriting conditions, work out what is outstanding, and follow up with borrowers and third parties until it is cleared.

About this role

This is a full-time, long-term remote loan processing role supporting a fast-paced U.S. lending and mortgage operation. You would manage multiple active loan files from application through closing: collecting and reviewing borrower documentation, interpreting lender and underwriter conditions, and following up persistently with borrowers, lenders, appraisers, insurance providers and title companies. The role needs someone who can look at a loan file, identify what is outstanding, determine the next action and execute it without waiting for direction. Day to day that means reviewing and organizing documents such as bank statements, income records, entity documents and insurance, translating underwriting conditions into clear borrower requests, making frequent outbound calls and professional emails, coordinating appraisal scheduling and title or insurance updates, and tracking every outstanding condition across the pipeline. You would be expected to spot potential delays before they affect closing timelines and keep internal stakeholders informed. Prior U.S. mortgage or commercial loan processing experience is preferred, but strong transferable backgrounds in banking operations, financial services or real estate finance will also be considered, and the role is open to candidates without direct mortgage experience who show excellent critical thinking, communication and organizational skills. The team uses HubSpot, Adobe Acrobat and eSign, OneDrive and a custom loan-tracking platform, so comfort learning new tools quickly is essential.

What you’ll do

  • Manage multiple active loan files from application through closing
  • Collect, review and organize borrower documentation such as bank statements, income records, entity documents and insurance
  • Translate lender and underwriter conditions into clear borrower requests
  • Make frequent outbound calls and send professional emails to borrowers
  • Coordinate third-party requirements such as appraisal scheduling and title or insurance updates
  • Track every outstanding condition across the pipeline
  • Identify potential delays before they affect closing timelines
  • Keep internal stakeholders informed on file status

What we’re looking for

  • Loan file management and pipeline tracking, or strong transferable file or case management experience
  • Borrower or client documentation collection and follow-up
  • Reviewing requirements or conditions and communicating exactly what is needed
  • Outbound calling and email communication, including difficult conversations
  • Coordinating with lenders and third parties such as appraisers, title companies and insurance providers
  • Strong written and spoken English
  • Excellent organization and attention to detail
  • Critical thinking and problem-solving
  • Working independently with minimal supervision across many active files
  • Comfort learning new software and platforms quickly

  • Residential or commercial mortgage processing experience
  • Experience interpreting underwriting conditions
  • DSCR loan or investment-property lending experience
  • Commercial real estate loan experience
  • Coordinating appraisals, title and closing requirements
