About this role
This is a remote administrative operations and data coordination role supporting the office and field teams of a U.S. fencing and construction company. You will handle fast, accurate data entry - job costing, quotation input, and financial tracking - while keeping information flowing between the office and the crews in the field across the full job lifecycle. Day to day you will manage scheduling input based on site-manager direction, coordinate crew clock-in and clock-out from material loading to yard return, and use tools such as WhatsApp, GPS tracking, vehicle camera monitoring, and mapping software to keep jobs on track. It is a high-volume role, busiest during peak seasons, and it rewards someone detail-oriented, highly organized, and self-driven who owns tasks without hand-holding and knows their lane: admin coordination, not decision-making. The role works U.S. Eastern business hours.
What you’ll do
- Enter data quickly and accurately - job costing, quotation input, and financial tracking
- Coordinate communication between the office and field teams across the full job lifecycle
- Manage scheduling input based on site-manager direction
- Coordinate crew clock-in and clock-out from material loading to yard return
- Keep information flowing so updates reach the correct stakeholders
- Use software tools, WhatsApp, GPS tracking, and truck camera monitoring day to day
- Use mapping tools to assess site access and provide routing inputs
- Manage high job volume, especially during peak seasons
What we’re looking for
- 2 to 5 years in administrative operations, coordination, or support roles
- Demonstrated ability to perform in fast-paced, high-volume environments
- Fast and accurate data entry (job costing, quotations, financial tracking)
- Strong multitasking and organizational ability
- Comfort coordinating directly with field crews and site managers, not office-only work
- Proficiency with software tools, WhatsApp, GPS tracking, and truck camera monitoring
- Strong ownership and follow-through on assigned tasks
- Able to work U.S. Eastern business hours (12:00 PM to 9:00 PM EST)
Nice to have
- Construction or trades industry experience
- Experience in dispatch, operations coordination, or administrative support
- Familiarity with fencing materials and terminology (willingness to learn is fine)
- Spanish-speaking ability
