About this role
A U.S. general contractor is currently running its entire bid calendar, project documentation and vendor follow-up through one person, the owner. This seat exists to take that over. You would be the operating link between the owner, superintendents, subcontractors, vendors and agencies: maintaining bid folders, plans, specifications and addenda, preparing and distributing subcontractor RFQ packages, tracking responses, and chasing missing pricing until it lands. Alongside that you would keep a live dashboard on every active project, and track RFIs, submittals, change orders, invoice backup, punch lists and closeout documents. It is a broad coordination seat rather than a specialist one, so estimating depth is not what matters here. What matters is follow-up that does not stop, trackers you build yourself, and writing down how the work gets done so someone else can repeat it.
What you’ll do
- Maintain the bid calendar, bid folders, plans, specifications and addenda
- Prepare and distribute subcontractor RFQ packages
- Track RFQ responses and chase missing pricing until it lands
- Build bid tabs and scope comparisons for the owner to review
- Keep a live dashboard on every active project - deadlines, open issues and follow-ups
- Track RFIs, submittals and change orders
- Maintain invoice backup files, punch lists and closeout document packages
- Support light bookkeeping and payroll processing
- Write down how the work gets done - SOPs, checklists and desktop procedures
What we’re looking for
- 3+ years in construction coordination, preconstruction, project administration, document control, or as a construction project assistant
- Comfortable reading and organizing plans, specifications, addenda and bid documents
- Strong Excel skills, including building and maintaining your own trackers
- Relentless follow-up - chasing subcontractors and vendors until you get an answer
- Clear written and spoken English for daily contact with a U.S. business owner, subcontractors and agencies
- Able to work US Eastern Time business hours long term
- Comfortable handling confidential financial and payroll information
- Willing to complete background verification before you start
Nice to have
- Experience supporting U.S. general contractors
- QuickBooks or ADP experience
- Bluebeam Revu, PlanSwift or Procore experience
- A track record of building SOPs and checklists
